The correct format depends on the state. Essential Clauses in a Rent Agreement Format

A good rent agreement format is more than a one-page rent receipt. It should clearly record who is giving the property, who is occupying it, what the rent is, how long the agreement runs, what deposit is held, and how either party can exit. Weak templates create disputes later because they skip operational details like maintenance, painting, society charges, parking, subletting, pets, lock-in, late payment and damage responsibility.

Registered vs Notarized: When a Template Is Not Enough

Downloading a rent agreement format is useful for drafting, but the document is not complete until it is executed correctly. In Maharashtra, rent agreements are usually registered through the government eRegistration process with stamp duty, registration fee, biometric verification and police intimation. A simple notarized template may not be enough for Mumbai, Pune, Thane, Navi Mumbai or Kolhapur properties.

For Bangalore, a notarized agreement on Karnataka e-stamp paper is commonly accepted for residential rentals, HRA, address proof and society records. Still, the agreement should mention the right stamp value, witness details, notary seal, property details and all money terms. If the agreement is for a long tenure, high-value commercial premises or a dispute-prone case, get legal review before signing.

How to Fill the Template Correctly

Before signing, match every name in the agreement with the identity proof. If the landlord is an individual, use the same spelling shown on Aadhaar or PAN. If the property is owned jointly, include all owners or mention the authorized owner with a clear consent clause. If the tenant is a company employee taking a house for personal residence, use the individual's name unless the company is officially signing as tenant.

Use the full property address, not a short society name. A strong rental agreement format should include flat number, wing, floor, building name, society name, road, locality, city and pin code. For Maharashtra Leave and License agreements, property details like CTS number, survey number or Index-II reference can help during registration. For Bangalore rental agreements, society name, parking slot and maintenance responsibility are especially important.

Be specific with money. Write rent in numbers and words, mention the payment date, bank transfer or UPI mode, security deposit amount, whether deposit is interest-free, and exactly when it must be refunded after possession is handed back. If painting, cleaning, electricity, gas, internet, society maintenance, club charges or parking charges are separate, write that clearly. Most disputes come from vague money clauses, not from the legal title of the document.

Finally, do not rely on old templates blindly. Update the date, tenure, renewal clause, notice period, lock-in clause, address proof wording, police intimation requirement and stamp duty value for the current transaction. If the agreement will be used for passport, bank KYC, school admission, visa documentation or company HRA, a registered or properly notarized agreement with complete address details is safer than a casual one-page format.

Is a downloaded rent agreement template legally valid?
The template itself is not legally valid. It becomes valid only after: (1) stamp duty is paid and the document is printed on stamp paper or e-stamp is attached, (2) both parties sign it, and (3) it is notarized by a licensed notary. You need a POA when the landlord cannot be physically present to sign — for example, NRI landlords, or owners living in another city. The POA authorizes a local representative (family member, friend, or agent) to sign the agreement on the landlord's behalf. The POA itself must be notarized (or registered, for extra safety). NRIs executing a POA abroad must get it attested at the Indian Consulate/Embassy.
What is the police intimation format and who needs it?
Police intimation (tenant verification / Form C) is mandatory for all landlords in Maharashtra. It must be submitted to the local police station within 24 hours of the tenant taking possession. It includes the tenant's name, Aadhaar number, photo, address of origin, and a copy of the rent agreement. Failure to submit can result in fines for the landlord.
